Your Event Day Risk Checklist

event risk management, event contingency plan

Professional events prepare for failure before it happens.

Check these before the day:

  • Weather: shelter, flooring, rain timing
  • Power: supply confirmed, backup available
  • Sound: spare microphones, batteries and cables
  • Access: gate widths, parking and delivery routes
  • Suppliers: contact numbers for each, with arrival times confirmed
  • Programme: a printed copy with someone responsible for timing
  • Guests: seating plan, accessibility needs, arrival management
  • Safety: first aid, clear walkways and emergency exits

Assign a decision-maker. When something goes wrong, one person must be able to say "do this."

Run through the day the night before. Walk the site, check the equipment and confirm arrival times.

This is what a coordinator does, and it is how problems get solved before guests notice them.
