Planning an Outdoor Event in the Rainy Season

rainy season event planning Zimbabwe, outdoor event tent hire

From November to March, an outdoor event without a rain plan is a gamble. Guests arrive in good clothes, the ground turns to mud and the programme collapses.

Build your rain plan before you book:

  1. Cover. A properly pitched tent with sidewalls covers guests, food and equipment.
  2. Flooring and walkways. Mud ruins shoes and slows service. Plan firm paths from the parking area to the tent.
  3. Drainage. Choose the highest, flattest part of the site. Water pools where you least want it.
  4. Power and sound protection. Keep cables, speakers and generators covered and off the ground.
  5. Décor choices. Fabric, paper and loose items suffer in damp air. Choose materials that can handle moisture.
  6. Timing. Heavy rain usually arrives in the afternoon. Schedule key moments earlier when you can.

Decide in advance: who calls a delay, who moves guests, and where the programme continues if rain starts mid-event. A decision made at the time costs minutes. A decision made in advance costs nothing.

ChloAce plans the site, tent and layout around the weather, and sets backups before the day.
