How to Read an Event Quotation

event quotation, how to compare quotes

Two quotes can look similar and deliver very different events.

What a good quote includes:

  • An itemised list with quantities
  • Delivery, setup, collection and labour
  • Dates and times for each stage
  • Deposit and payment terms
  • What is excluded
  • What happens if guest numbers or dates change
  • Validity period for the pricing

Warning signs:

  • A single total with no breakdown
  • "Setup" or "labour" missing
  • No mention of power, flooring or access
  • Vague descriptions like "tent package"
  • No payment terms

How to compare:

  1. Put the quotes side by side.
  2. Match each line item.
  3. Note what's missing from each.
  4. Ask the suppliers to confirm anything unclear.
